FreshBooks is designed around invoicing clients, tracking expenses, estimating work, accepting payments, and—in several plans—running broader accounting reports. That can suit a consultant or a product-and-service business. It is a questionable default for a small Shopify store whose customers already order and pay through Shopify.

A Shopify order is not a client project
FreshBooks’ strengths make sense when a business needs to send estimates, record time, create proposals, manage retainers, and invoice named clients. Most straightforward Shopify product orders already have a checkout, payment status, customer record, tax calculation, discount history, fulfilment state, and refund trail inside Shopify.
Recreating or forwarding parts of that activity into a client-accounting platform may be worthwhile when FreshBooks is the official ledger. It is unnecessary if the merchant only needs a consistent monthly sales file.
The connection is another consideration. FreshBooks documents integrations through Zapier, where one app triggers actions in another. That flexibility is useful, but it adds another account, automation, mapping, and possibly another paid plan. LedgerLeaf starts from the Shopify data directly and produces the file without building a cross-platform automation first.
Ask what the accountant actually receives
An accountant may recommend FreshBooks because it is familiar or because other clients use it. Before subscribing, distinguish between two outcomes:
- Books maintained in FreshBooks: the accountant expects categorised transactions, reconciled accounts, and financial statements in the platform.
- Source data handed to the accountant: the accountant expects a clean CSV or XLSX with specific Shopify fields.

Clean data travels further in an AI-assisted workflow
AI can now help merchants describe spreadsheet changes, build formulas, group transactions, and identify rows worth reviewing. It does not make an AI-generated tax answer authoritative, and merchants should use only approved tools for financial data. It does mean that many small stores can get useful analysis from a portable workbook without buying a large catalogue of forecasting or project features.
LedgerLeaf works perfectly well without AI. Its recurring value is the clean export, direct report, and repeatable profile. AI is optional—not a toll gate between the merchant and their own data.
Our verdict
FreshBooks is reasonable for a Shopify merchant who also runs a substantial client-service operation or keeps the full books there. For a product store that needs Shopify bookkeeping data, much of its defining workflow is beside the point.
LedgerLeaf is usually the better fit when Shopify is where sales happen and a spreadsheet is what the bookkeeping process needs. It is simpler, directly connected, and at least $205.20 less per year than FreshBooks Lite at regular list prices—before any integration or add-on cost.
